Privacy Policy
Last updated: 8 October 2026
This policy explains what personal information the Indian Association of Functional Medicine (“IAFM”) collects through this website and in connection with IAFMCON 2026, why we collect it and what we do with it.
1. What we collect
When you submit the application form we collect:
- Your name, WhatsApp number and email address
- Your country and city
- Your profession and years in practice
- The package and number of seats you are interested in, and any discount you may qualify for
- Your written answer describing what you want from the two days
If you go on to register, we also hold your payment reference and invoicing details. Payments are processed by our payment provider; we do not store your card details.
2. Why we use it
- To contact you about your application and confirm your package
- To take payment and issue an invoice
- To administer your attendance, including name badges, meals and accommodation where applicable
- To send you joining instructions, the recordings and your certificate
- To tell you about future IAFM events and education, where you have not objected
3. Our lawful basis
We process your information in order to take steps at your request before entering into a contract and to perform that contract, and otherwise on the basis of your consent, which you may withdraw at any time.
4. Who we share it with
- Our registrations team, who contact you about your application.
- The venue, where accommodation or dietary requirements need to be arranged. Only the information necessary for that purpose is shared.
- Our payment provider, to process payment.
- Messaging and email services we use to communicate with you.
- CustomerLabs, our analytics and marketing-measurement provider, as described in section 8.
We do not sell your personal information, and we do not share it with speakers, sponsors or other delegates without your consent.
5. How long we keep it
We keep application and attendance records for as long as needed to administer the conference and to meet our accounting and legal obligations, and then delete or anonymise them. If you ask us to delete your details earlier and we have no legal reason to keep them, we will.
6. Your rights
You may ask us to confirm what information we hold about you, correct it, delete it, or stop using it for marketing. Write to us using the details on our Contact page and we will respond within a reasonable time.
7. Security
We take reasonable technical and organisational measures to protect your information. No transmission over the internet can be guaranteed completely secure, and you share information with us at your own risk.
8. Cookies and analytics
This site uses CustomerLabs, an analytics and marketing-measurement service, which sets cookies and records how you use our conference pages, such as pages viewed and buttons clicked.
When you type your email address or phone number into a registration or application form, these details, together with your name and profession, are sent to CustomerLabs so we can link your visit to your application, measure which of our campaigns work, and reach you with relevant IAFM communications. This can happen when you move out of those fields, before you press submit. When you complete a payment, the payment reference and amount are also recorded.
CustomerLabs may pass this information, in hashed or pseudonymised form where supported, to advertising platforms we use to measure and run our campaigns. You can block these cookies in your browser settings, or ask us to delete the analytics data held about you using the details on our Contact page.
9. Children
This website and the conference are intended for adults. We do not knowingly collect information from anyone under 18.
10. Changes
We may update this policy. The date at the top of the page shows when it was last changed.
